Executive Administrative Assistant (Part-Time)

🗂️ Role:The Executive Administrative Assistant provides high-level support to leadership, ensuring smooth day-to-day operations of the organization. This role involves managing communications, scheduling, record-keeping, and assisting with nonprofit compliance and fundraising efforts. The Executive Administrative Assistant will play a vital role in maintaining organizational efficiency and supporting executive-level functions.


Key Responsibilities:

âś… Office Communication Management

  • Oversee and manage incoming and outgoing communication, including emails, phone calls, and correspondence.

  • Ensure timely responses to inquiries and follow-up with key stakeholders, donors, and partners.

âś… Scheduling & Calendar Coordination

  • Manage the executive’s calendar, schedule meetings, and coordinate appointments.

  • Organize and prioritize meetings, ensuring the executive’s time is used efficiently.

âś… Event & Meeting Coordination

  • Assist in organizing events, board meetings, volunteer activities, and fundraising initiatives.

  • Handle logistics such as venue selection, materials preparation, and attendee coordination.

âś… Record-Keeping & Compliance

  • Maintain and organize nonprofit records, compliance documents, reports, and confidential files.

  • Ensure the organization complies with legal, regulatory, and nonprofit standards.

âś… Grant Tracking & Fundraising Support

  • Support grant application tracking, ensuring deadlines are met and documentation is complete.

  • Assist with donor management, maintaining accurate records, and supporting fundraising campaigns.

âś… Confidentiality & Professionalism

  • Handle sensitive and confidential information with professionalism and discretion.

  • Ensure confidentiality and compliance with the organization's privacy policies.

Requirements

Qualifications & Skills:
âś” Experience: At least 2-3 years in administrative support, executive assistance, or a nonprofit environment. Experience with grant writing or fundraising is a plus.
✔ Education: Associate’s or Bachelor’s degree in Business Administration, Nonprofit Management, or related field (preferred).
âś” Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with project management tools (e.g., Trello, Asana) and CRM systems (e.g., Salesforce, DonorPerfect).
Knowledge of file management systems and cloud storage platforms (e.g., Google Drive, Dropbox).
âś” Organizational & Time Management Skills:

Strong attention to detail, with the ability to handle multiple tasks and prioritize effectively.
Ability to work independently and manage competing priorities in a fast-paced environment.
âś” Communication & Interpersonal Skills:

Excellent verbal and written communication skills for handling correspondence, reports, and meeting notes.
Strong interpersonal skills to engage with leadership, stakeholders, and team members professionally.
âś” Confidentiality & Discretion:

Ability to handle sensitive information with the utmost confidentiality and professionalism.
Understanding of ethical standards and nonprofit regulations.
âś” Problem-Solving & Initiative:

Ability to anticipate needs and act proactively in supporting executive-level tasks.
Strong problem-solving skills with a focus on finding efficient solutions to administrative challenges.
âś” Adaptability & Flexibility:

Ability to adapt to changing priorities and organizational needs.
Flexibility in working hours and tasks to meet the needs of the leadership team.

Compensation & Schedule:
